Are you looking for a central role where you contribute to the smooth daily operations of an organization with a vital mission? You will be based in bright and very pleasant offices right in the heart of central Stockholm.
The role gives you the opportunity to take your own initiatives and shape your working methods, while having a clearly supportive function within the operations. You will work with agreement processes, meeting bookings, document management, and other administrative tasks. Here, you will become part of a warm and collegial workplace and a team with high engagement and good collaboration.
About the Role
As an Administrative Assistant with us, you will become an important part of the Negotiation and Labor Law unit. You will work closely with our negotiators and be responsible for qualified administrative support, particularly in connection with agreement processes where accuracy and linguistic precision are crucial.
The role includes, among other things:
- Handling and updating agreements, minutes, and other important documents
- Ensuring structure, quality, and version control in documents
- Booking meetings, venues, and conferences
- Supporting training sessions, consultations, and other gatherings
- Managing archiving, orders, and other office administration
The position is 50% with some flexibility in how the work week is arranged. We prefer that you are on-site on Wednesdays and Thursdays, and we apply hybrid work where it suits the operations. There is an opportunity to adjust working hours with shorter days or fewer days per week in consultation with the unit.
Experience
We are looking for someone with a few years of experience in qualified administrative work, preferably in a role with a focus on document management and coordination. The work places high demands on accuracy and linguistic precision, and you need to be confident in formulating yourself correctly in written Swedish.
You also have:
- Upper secondary education
- Very good knowledge of the Office package, especially Word
- Very good digital habits and an ability to quickly learn new systems
It is an asset if you have experience working with large documents and version control, such as collective agreements.
Personal Qualities
To thrive and succeed in the role, we see that you are a person who truly enjoys working in a structured way and creating order. You are meticulous and responsible and have a natural sense for details.
You work independently and take initiative, while being unpretentious and enjoying a supportive role where you collaborate with others. You are flexible, service-oriented, and find it easy to adapt to the needs of the operations.
With a positive attitude, you are motivated to be part of an engaged work environment where we both work hard and have fun together.
